Administrative Aide Intern/Volunteer
Program: Generation YW Position: GenYW Administrative Aide-Intern/Volunteer
General description:
- Under the supervision of the Generation YW Program Manager, this position will serve a supportive role to direct care and management staff, carrying out the goals and policies of the YWCA Generation YW Program by performing responsible, sometimes confidential duties and routine clerical and administrative functions.
Work responsibilities:
- Will work as an active team member to carry out the YWCA mission.
- Perform clerical duties that include handling confidential data entry, filing, shredding, and related duties.
- Maintain inventory of office materials and items donated to the program.
- Assist with data entry and maintenance of participant and program records.
- Compile data and assist in preparation of timely reports as needed.
- Assist in coping and preparing office forms and other materials as needed by staff.
- Ensure that participant folders, lesson plans and other materials are readily available for direct care staff.
- Learn to assist in the maintenance of a database of community resources to facilitate provision of information and referral linkage for program participants and their families.
- Contact program participants or partners to confirm meeting dates or related information.
- Participate in trainings, team meetings, conferences and related activities as needed.
- Maintain compliance with all applicable policies and procedures of the YWCA and funding entities.
- Perform other duties as assigned.
Hours of work:
- This is part-time/volunteer position. Hours per day/week may vary.
- The candidate for this position will most likely work afternoon hours due to nature of programming but this is flexible.
Qualifications:
- Must be willing to strictly adhere to policies and procedures, especially those related to protecting confidentiality of program participants.
- Must submit to mandatory criminal background check and drug screening.
- Have a high school diploma or general education degree (GED).
- Must possess the ability to read, write, follow instructions and use good communication skills.
- Basic knowledge of office/clerical work or willingness to learn general office procedures.
- Basic knowledge of computer use and MS software.
- Sensitivity and ability to work in a setting with people of varying social, economic, cultural backgrounds.
- Bilingual in English/Spanish with verbal and writing skills and the ability to communicate is desirable, but not mandatory.
- Must have reliable mode of transportation.
- Possess ability to multi-task and work in an efficient, professional manner in carrying out duties of the position.
